Creating Rules/Reports

Clients and users will be able to create and customize specific Exception Reports based on the analysis they want to perform. 

This article will cover:

To observe Except Rules and Reports, users will start by clicking into the Exception Module: 

Once clicked, a new screen load that will outline the current Reports that the client has running for their organization. To manage / create rules, users will navigate to the blue "manage rules" link on the right-hand side. 

Once Clicked a new window will load that will show the current set of rules that an organization has running. If a client has not created any rules / reports, then page will not show any active reports.

Creating a Rule

To create a new report/rule, users will navigate to the blue "add rule" link on the right-hand side: 

Once clicked, a new window will load. From here, a user will be able to customize their Exception Report: 

Name

The form has the following fields:

  • Name: The user may begin by creating a name for the rule they wish to create, the best rule of thumb is to make sure the title of the rule concisely describes its purpose. (i.e., [Platform] Daily Exceptions for [Territory]).
  • Provider: This field will be pre-populated based on the client's specific organization.
  • Retailer: This field allows users to select specific retailers, users will click the Retailer Tab and a drop-down will appear for applicable Retailers.
    • Users can generate a report across all Retailers, multiple Retailers, or create a Retailer specific report. To generate a report that covers all Retailers, users will leave section blank.
    • Please note that Exceptions will only generate for the retailers that the client is subscribed to, and EMA Avails are delivered to STOREFRONT
  • Regions & Territories: To make a territory or region specific report, users will click the region tap and drop down will appear, or they can click the territory tab and a drop-down for specific territories will appear.

    • Users can generate report across all territories or create a territory or region specific report. To generate a report that covers all territories & regions, users will leave section blank.
    • Regions will supersede territories
  • Additional: Under this option, users can also customize an exceptions report by specific offer types, formats, and/or can create a report for a specific a title. To set these specific parameters, users will click the "Additional" bar and a new drop-down will appear: 
    • From here, users will be able to select specific offers types (Sales Types) or Format. If no parameters are set, then all offer types & all formats will be provided in the report.
    • Additionally, users can create reports for a specific title or titles by searching for a title by name or given ID.
  • Email Alert Recipients: Users can share reports across other team members within their organization by typing in their emails into "email alerts" tab.
    • These emails can only be sent to users with a Storefront account.

Scheduling Alerts

  • Report interval (Start/end dates): Users are able to create a start/end-date for reports to start generating and end generation.

    • The start date can be in the future if a user wants to create a report based on a release date for a title. 
  • Repeat: Users can set a cadence for how frequent these reports will be generated.
    • Never means that the report will be produce upon creation but will not repeat. Otherwise, users can set the report to produce daily, weekly, or monthly.
    • If the user set the Report interval, they must make sure it aligns with the Repeat set.
      • e.g., if the user set the Report interval to begin on 5/12 and to end on 5/16, but they want the report to be given every week. They will only get the report once, since the interval is only a single week long.
  • Additional Check Boxes: The user has 3 additional check boxes to utilize if needed.
    • An option to generate the report immediately.
    • An option to only include new results since previously scheduled report.
    • Or the option to include only unaudited exception data.
